Terms and Conditions of Use

1. Definition of Services

ArhivaDoc provides professional services for archiving, secure storage, management, and retrieval of physical documents for corporate clients and financial institutions. The services include, but are not limited to:

• Storage of documents in a controlled and secure environment.
• Management of physical databases and their indexing.
• Professional document scanning and provision of digital copies.
• Rapid retrieval and delivery of archived files upon request.

2. Rights and Obligations of the Parties

2.1. Obligations of the Provider (ArhivaDoc)

• Ensures the security and integrity of stored documents, in accordance with industry standards.
• Maintains the confidentiality of information contained in the client's documents.
• Provides access to documents through efficient search and scanning systems, as per the signed contract.
• Prepares periodic reports on the status and movement of documents, upon request.

2.2. Obligations of the Client

• To provide complete and accurate information for document indexing.
• To pay service fees according to issued invoices and contractual terms.
• To notify in writing any changes to contact details or authorized persons.
• To comply with established security procedures for accessing the storage facility or withdrawing documents.

3. Limitation of Liability

ArhivaDoc assumes liability for the loss or damage of documents resulting from direct negligence. Liability is limited to the value of the documents, according to the assessment provided upon storage, and does not exceed the value paid for services in the last 12 months.

We are not liable for indirect, consequential damages, or loss of profit resulting from delays in document retrieval, except in cases of gross negligence.

4. Data Confidentiality and Security

All documents and information received from the client are treated as confidential information. We implement physical and electronic measures to prevent unauthorized access, use, or disclosure. Full details are available in our Privacy Policy.

These Terms and Conditions are governed by and construed in accordance with the laws of Romania. Any disputes will be resolved primarily through amicable means, and in the absence of an agreement, will be subject to the jurisdiction of Romanian courts.
